Many enterprise processes still rely on email, spreadsheets, manual data entry, approvals and movement between different systems.
This may work at a certain scale. As volumes increase, delays, errors, limited visibility and operational effort tend to increase as well.
Process automation uses workflow, integrations, RPA, low-code and AI to automate suitable parts of this work.
Technology and process design, however, should not be treated as separate questions.
Is every manual activity a good automation candidate?
No.
Useful questions include:
- Is the step actually necessary?
- Could the work be simplified first?
- Are the business rules clear?
- Does the process contain too many exceptions?
- Is the real problem manual work or poor process design?
- Can the expected value be measured?
Automating an unnecessary step does not improve the process; it only makes unnecessary work happen faster.
Which automation approaches can be used?
Process automation may involve workflow and BPM, system integration, RPA, low-code platforms and AI-enabled automation.
In practice, several approaches may be combined. Technology should follow the process need rather than become the starting point.
Why do Process Mining and Task Mining matter?
One common risk in automation programs is automating the wrong part of the process.
Process mining can reveal waiting, rework, high-volume variants, bottlenecks and points of manual intervention.
Task mining can then show how a selected task is actually performed by users.
Good automation starts by being clear about which work should be automated and why, before selecting the technology.
Why simplify first?
Digitizing eight approvals may improve speed. But if only four are genuinely necessary, the better intervention is to remove redundant controls before automating the remaining flow.
A practical sequence is:

- Question unnecessary work
- Simplify
- Standardize
- Choose the right technology
- Automate
- Measure the outcome
How should success be measured?
Automation rate alone is not enough.
Ask whether end-to-end time, waiting, manual effort, errors, rework and SLA performance improved, and whether the process became easier to manage.
The value of automation lies in the change it creates in the process, not in the number of technologies deployed.
